An excellent opportunity has arisen within the College of Oral Health Sciences for the appointment of an Administrative Support 1 (Level 6B) to join the team.

Administrative Support 1 (Level 6B) – Permanent

The team member will provide confidential administrative support services of a relatively complex nature to the Vice Dean.  This involves establishing and maintaining administrative systems; preparing and maintaining various types and forms of documents and records; requesting, extracting and organizing data/information in the required format; and preparing quarterly and annual reports.

Requirements:

The preferred applicant will possess:

  • a first degree in Administrative Management or a related discipline
  • at least two (2) years experience in an administrative post
  • knowledge of standard office procedures and practices
  • knowledge of UTech policies and procedures
  • excellent communication, interpersonal and computer skills

Country CHDT Administrative Officer

CULTURE AND HUMAN DEVELOPMENT TEAM

JOB SCOPE

  • Supporting Country Manager in the execution of SME role for specific Group Initiatives and Jamaica Country Team in Special Projects ( e.g. Overall Budget control and management and CHDT Team IBSC, IDP, Administration)
  • Coordinates and supports the execution of the various Country Initiatives across units to promote the desired synergy in the delivery of CHDT Services to the wider Team
  • Ensuring escalation and team matters are effectively scheduled and followed up
  • Assisting with the coaching program execution across the Group of Companies
  • Analyzing and Preparing Reports (Board and Management)
  • Coordinating Leadership Coaching Sessions and debriefs across the Jamaica Leadership network
  • Creating Power points for various presentations and communication necessary to support timely and effective delivery of various Country CHDT related information.
  • Organizing and Preparing Country Manager to effectively execute on People related projects, meetings, engagements and presentations ( effectively debrief such meetings and ensure follow up actions executed in timely manner)
  • Managing hard files and online directories from the Country Manager’s desk (including calendar management)
  • Any other projects or tasks that may be assigned from time to time in support to the Country CHDT Team

EDUCATION, TRAINING & WORK EXPERIENCE REQUIRED:

      • First Degree in Management Studies, Business Administration, HR or related filed.
      • Certification and/or completion of Project management training is an asset.
      • Minimum of five (5) years’ work experience in a similar capacity
      • Familiarity with the financial sector instruments, money market operations, laws, regulations, ethics and professional jargon.
      • Good quantitative knowledge and skills.
      • Good research, analytical and presentation skills.
      • Excellent verbal and non-verbal communication skills.
      • High level of interpersonal skills.
      • High Level of Confidentiality.
      • Excellent computer skills, particularly Microsoft Office Suite, Microsoft Visio (especially Powerpoint and Excel required. Use of process management and reporting software (e.g. Business Objects, Microsoft Project etc.) and programming in Visual Basics would be beneficial.
