VACANCY – ACCOUNTING ADMINISTRATOR

 

The University of Technology, Jamaica (Utech) seeks to identify an experienced person to fill the position of Accounting/Administrator.

Students’ Union Office

 

The UTech Jamaica Students’ Union is a body of elected and appointed students chosen to represent the students of UTech, Jamaica, on issues or concerns relating to University life and education.  Its mission is to effectively serve and protect the rights of students and promote their academic, social, cultural, spiritual and physical development, while fostering relations with the wider community.  They work closely with the University of the West Indies Guild of Students Representatives on several issues affecting university life and the nation at large.    The Students Union has also extended itself to include entrepreneurial development such as a barber shop and beauty salon, a clothing store and a grocery store, and there are many other porogrammes promoting student welfare.

 

Position Description

 

The Accounting Administrator is responsible for performing a wide range of accounting and administrative functions for the Students’ Union Office including but not limited to assisting with the preparation of the annual budget, accounting for petty cash, preparing bank reconciliations, maintaining all accounting transactions for the clubs and societies that fall under the Students’ Union Office.  The incumbent is also responsible for the day to day operations of  the Students’ Union Office by supervising other staff members, receiving and accounting for donations while ensuring that all such operations are in accordance with the University’s standard operating practices and procedures.

 

 

THE MAIN RESPONSIBILITIES:

 

  • Develop the annual budget in collaboration with the Vice President Students’ Union, the President, Students’ Union and other Executive Students’ Council Members and submit the budget to the Senior Director, Business and Asset Administration.
  • Process all receipts and cheque disbursements.
  • Prepare lodgements, daily, for delivery to the bank and ensure that the close-off procedures are complied with.
  • Maintain and reconcile, monthly, the general ledger accounts.
  • Prepare monthly financial reports for distribution to the Senior Director, Business and Asset Administration and the VP, Finance, Students’ Union.
  • Manage the petty cash fund and ensure payments and reimbursements are as per the University’s petty cash policy.
  • Reconcile bank accounts and submit to the Senior Director, Business and Asset Administration and Vice President, Finance, Students’ Union for review and approval in a timely manner.
  • Ensure that the Students’ Union has in place effective systems and procedures of financial and budgetary controls and that they are aligned to the University’s policies and procedures.
  • Ensure that the procedures for confidentiality are maintained.
  • Verify all reimbursement requests against receipts provided.
  • Prepare Audit schedules for the annual audit exercise.

QUALIFICATION, EXPERIENCE AND SPECIALISED SKILLS

The applicant should have a minimum of an ACCA Level II or equivalent qualifications from an accredited institution or equivalent professional qualification.

 

At least five (5) years experience in a similar accounting environment where the incumbent has supervised staff, worked in a computerized accounting department, has experience with accounts payable and receivable, income and expenditure accounts, bank reconciliations, cash flows and Statement of Financial position; and preparing audit schedules.

The incumbent must possess very good interpersonal skills with an emphasis on customer service; must be accurate with an eye for detail; possess good judgment, excellent reasoning abilities, and works well multitasking and meeting deadlines.
